Terms and Conditions
These terms explain how lessons, free trials, monthly memberships, payments, missed lessons, conduct, media permission, privacy, and cancellation work at Chord & Voice Music Academy in Ontario.

Lesson Registration
A student is registered only after Chord & Voice confirms the lesson format, instructor, schedule, monthly plan, and payment arrangement. Sending an inquiry or booking request does not guarantee availability.
Families are responsible for providing accurate student details, contact information, emergency contact information when requested, and any learning, safety, or health information that may affect the lesson experience.
Weekly Recurring Lessons
Regular students attend one private lesson each week unless a different arrangement is confirmed in writing. Lessons may be held in-studio, in-home, or online depending on availability and the student's selected format.
Weekly lessons are designed to build consistency, confidence, and steady progress. Students are expected to attend on time and follow the practice guidance provided by their instructor.
Monthly Membership
Lessons are sold as a recurring monthly membership, not as one-off individual lessons. The membership reserves the student's instructor, room or lesson delivery arrangement, and weekly time slot.
Monthly membership helps Chord & Voice protect instructor availability, maintain consistent student progress, and offer a reliable weekly schedule for families.
Reserved Lesson Time
When a student joins a monthly plan, Chord & Voice holds a weekly lesson time for that student. That reserved time may not be available to other students, even if the student misses a lesson.
Schedule changes are handled case by case and depend on instructor, room, and route availability.
Free Trial Lessons
Every new student receives one complimentary trial lesson. Free trials are limited to one per student.
- Additional free trial lessons are not provided.
- If a student asks to reschedule a free trial, approval is at the academy's discretion and depends on instructor availability.
- A free trial does not guarantee a recurring weekly slot until registration and payment are confirmed.
Payments
Monthly payments are due before the first lesson of each month unless a different written arrangement is confirmed by Chord & Voice.
Accepted payment methods are confirmed during registration and may include Interac e-Transfer, credit card, debit card, or another approved method. Chord & Voice may update accepted payment methods from time to time.
- Late payments may result in a paused lesson schedule or release of the reserved weekly time slot.
- Returned, failed, or NSF payments must be replaced promptly. Bank or processor charges may be passed through where permitted and disclosed.
- Outstanding balances must be paid before additional lessons are scheduled.
Missed Lessons
Chord & Voice aims to be fair while protecting instructor time and reserved student slots.
- With at least 24 hours notice, a missed lesson may be rescheduled if instructor availability permits.
- With less than 24 hours notice, the lesson is forfeited.
- No-shows are forfeited.
- Makeup lessons are not guaranteed and may be offered in-studio, online, or at a different time depending on availability.
Instructor Cancellations
If Chord & Voice cancels a lesson because of instructor illness, scheduling conflict, severe weather, or another academy issue, the student will receive either a makeup lesson or an account credit.
Chord & Voice will choose the most practical option based on the situation and available scheduling capacity.
Holidays and Breaks
Lessons do not run on Ontario statutory holidays unless Chord & Voice and the family specifically agree otherwise.
Chord & Voice may close for a winter or Christmas break. Break dates, billing treatment, and any makeup or credit details will be communicated to active families in advance.
Weather and Safety
During severe weather or unsafe travel conditions, Chord & Voice may move the lesson online, reschedule the lesson, issue a credit, or cancel the lesson depending on the circumstances.
Safety comes first. Families should contact the academy as soon as possible if weather or travel conditions may affect attendance.
Student Conduct
Students are expected to behave respectfully toward instructors, other students, staff, families, and property.
- Bullying, harassment, threats, or unsafe behaviour are not allowed.
- Students must treat instruments, rooms, and teaching materials with care.
- Families may be responsible for repair or replacement costs if a student intentionally or carelessly damages instruments, equipment, or property.
- Chord & Voice may end or pause lessons if behaviour creates a safety concern or prevents a productive lesson environment.
Student and Parent Responsibilities
Students are responsible for arriving prepared, bringing required materials, practicing between lessons as recommended, and participating respectfully.
Parents and guardians are responsible for timely arrival and pickup, keeping contact information current, monitoring academy communication, and sharing important safety or learning needs.
For younger students, parents should remain reachable during the lesson. Waiting rules may vary by location and lesson format.
Photography and Media
Chord & Voice may ask permission to take photos or videos of lessons, performances, or student progress for educational, portfolio, social media, or marketing use.
Families may opt out of photo or video use by notifying Chord & Voice in writing. Chord & Voice will not intentionally publish identifying media of a minor where a parent or guardian has opted out.
Privacy
Chord & Voice collects and uses personal information only for reasonable lesson, scheduling, communication, billing, safety, and website purposes. More detail is available in our Privacy Policy.
This policy is intended to align with general Canadian private-sector privacy principles. It should be reviewed by a qualified professional if legal advice is required.
Liability
Music lessons involve normal participation risks, including travel, movement, instrument use, vocal use, online technology issues, and participation in academy activities. Families agree to use reasonable care and follow instructor directions.
To the maximum extent permitted by applicable law, Chord & Voice is not responsible for indirect, incidental, or consequential losses arising from website use, lesson scheduling, missed lessons, third-party platforms, or participation in lessons. Nothing in these terms is intended to limit rights that cannot be limited under applicable Ontario or Canadian law.
Termination and Withdrawal
Either the family or Chord & Voice may discontinue lessons. Families should provide written notice before the next billing cycle if they plan to stop lessons.
Outstanding balances remain due after withdrawal. Chord & Voice may end lessons immediately for unpaid fees, unsafe conduct, repeated no-shows, harassment, or serious policy violations.
